Support Tip: Olympus ODMS (Olympus Dictation Management System) with Dragon: How to eliminate the pop-up screen for the transcriptionist

From time to time we will document some support request that we get multiple times, so you can have easy reference to the solution.

Support question:

A customer (Transcriptionist) is experiencing pop-up notifications that there are new dictations waiting to be transcribed, but there are no dictation files showing up in the download tray or any folder.

Answer from our support team:

If you are experiencing pop-up notifications on the transcriptionist's computer, but the folder shows empty, with no files in the ODMS software, it might be that there are some files in that folder which are not voice files. A common example, when using it with Dragon to transcribe voice files into text, and the text files are stored in the same folder location as the voice files.

Solution:

You'll need to delete those non-voice files from the location of the folder path on the computer or on the  server. 

To locate the path follow the instructions below;

Select from top menu bar "Tools" > "Options" > {folder name} > 

Then click on the "Path" as seen in the image below, to view the full path location.

Once you delete all files there, the notification pop-up should stop.

If the files were text files from Dragon, you'll need to follow the steps below to change the settings where ODMS should save transcribed document, by following the steps below; 

These settings needs to be done on the computer which is sending the foster Dragon, which in most cases should be the dictation module, but in some cases might be the transcription module.

Select from the top menu bar Tools > Options > Workflow.

Check the box "Export document" 

3. 

Select the output folder on a shared location which should be available with full admin rights to the transcriptionist, as seen in the image below.

This will prevent the text files from staying in the pending transcription folder, which will not populate again the false notifications.
